
TERMS AND POLICIES
1. Quotes & Pricing
All quotes are valid for 10 days unless otherwise stated. Pricing is subject to change based on project scope, materials, product availability, quantity, or special requests.
2. Payment Policy
Graphic Design:
A 50% non-refundable deposit is required before graphic design work begins. The remaining balance is due before final files are delivered.
Photography:
Full payment is due before the scheduled photography session unless otherwise agreed upon.
Promotional Products:
Full payment is required before products are ordered or production begins.
3. Photography Sessions
Photography session fees reserve your date and time. Clients are responsible for arriving on time. Late arrivals may result in a shortened session to avoid impacting other scheduled appointments.
4. Proofs, Revisions & Artwork Approval
Clients are responsible for carefully reviewing all proofs before approving production. Spot On is not responsible for spelling errors, incorrect information, design elements, or other mistakes that have been approved by the client.
If artwork is provided as artwork ready, no design adjustments or corrections are made unless specifically requested. Spot On is not responsible for errors contained within customer-supplied artwork.
Additional revisions beyond those included with a project may incur additional charges.
5. Promotional Products & Custom Orders
Due to the custom nature of our products, all sales are final once production has begun. Colors may vary slightly due to screen settings, printing methods, and material differences.
6. Turnaround Times
Photography galleries are typically delivered within 2 to 3 weeks following your session.
Graphic design turnaround times vary depending on the complexity and size of the project.
Promotional product turnaround times vary based on the product, production schedules, shipping, and supplier availability.
Estimated turnaround times are provided as a courtesy and are not guaranteed.
7. Copyright & Image Usage
All photographs, artwork, and designs created by Spot On remain the intellectual property of Spot On unless otherwise agreed upon in writing. Clients may not alter, remove logos, apply filters, edit, reproduce, or use copyrighted work for commercial purposes without written permission.
8. Photography Conditions & Rescheduling
Photography sessions may be rescheduled due to severe weather, illness, or emergencies.
Spot On is not responsible for wardrobe choices, hair or makeup issues, weather conditions, wind, or lighting conditions resulting from the session time selected by the client. While guidance is always available before your session, final decisions regarding clothing, location, and scheduling remain the client's responsibility.
9. Refund Policy
Due to the custom nature of graphic design services and photography, refunds are generally not available once work has begun.
For promotional products, if an error occurs as a result of production by Spot On or one of our manufacturing partners, we will work with you to repair, replace, or refund the affected item when appropriate.
If the customer provides artwork-ready files, Spot On is not responsible for errors contained within those files and refunds or replacements will not be issued for customer-supplied artwork errors.
If an issue arises with any order, please contact us promptly so we can work toward a fair resolution.
10. Communication
Spot On is proudly a one-person business, and every project is personally managed from start to finish. While every effort is made to respond to messages and complete projects as quickly as possible, response and turnaround times may vary depending on current workload, weekends, holidays, sporting events, and peak business seasons.
Your patience is greatly appreciated, and every client receives the same care and attention to detail.
11. Portfolio & Marketing Use
Unless otherwise requested before your project or photography session, Spot On reserves the right to use photographs, artwork, graphic designs, and completed products for portfolio, website, social media, advertising, marketing, competitions, and promotional purposes.
Requests to keep a project or photography session private must be communicated before work begins and will be honored whenever agreed upon in advance.
